Third-Party Use of Cookies and Other Tracking Technologies

Some content or applications, including advertisements, on the Website are served by third-parties, including advertisers, ad networks and servers, content providers, and application providers. These third parties may use cookies alone or in conjunction with web beacons or other tracking technologies to collect information about you when you use our website. The information they collect may be associated with your personal information or they may collect information, including personal information, about your online activities over time and across different websites and other online services. Speaker Autofill browser extension

Brandpod Speaker Autofill is an optional Chrome extension that fills speaker application and event registration forms using the speaker profile stored in your Brandpod account. This section describes how it handles your data. It applies in addition to the rest of this policy.

What the extension accesses

The extension does not run on any website until you ask it to. It has no standing access to your browsing. Each time you click Auto-fill application, it is granted access to that one tab, and reads nothing before or after.

When you activate it on a page, it reads the structure of the form in front of you: the labels, field names, placeholder text, field types and length limits. This is how it works out that a field labelled “Short bio” should receive your biography.

Some application forms ask one question at a time. On those, the extension keeps working as you move through the form, reading and filling each question as you reach it. That means it stays active on that tab until you stop it, leave the page, or ten minutes pass, and a Stop button is on screen for as long as it is running. It never presses Next or Submit for you.

One kind of upload is filled: a field asking for your headshot. When a form asks for one, the extension fetches the photo you chose in Brandpod Settings and attaches it, exactly as though you had picked the file yourself; nothing is sent anywhere until you submit the form. Every other upload is left alone. A CV, a slide deck or an identity document is never attached, and the extension never reads a file from your computer.

While it is running it also keeps track of what you type into the fields it filled, so that it can offer to save your changes afterwards even on forms that remove each question from the page once you have answered it. That information stays in your browser unless you tick an item in the review panel and confirm.

What we receive

When you use the extension, the following is sent to Brandpod’s servers:

  • A request for your speaker profile: so the extension knows what to fill in. We send you back the profile you already store with us: your name, email address, phone number, job title, employer, biography, talk details and links.

  • Form field descriptions: the labels, field names, types and length limits of the form in front of you, so we can work out which answer belongs in which box. This is sent for the whole form, not only the fields we cannot place. It describes the form; it never includes what you typed.

  • Profile updates that you explicitly confirm. If you change something the extension filled in, it will ask whether you want to keep that change. Nothing is sent unless you tick it and confirm.

  • The address of the application page, so we can tell you which speaking opportunity in your Brandpod account it belongs to, warn you if you have already applied to it, and- if you confirm you submitted the form- record that against it. We keep only the site and page address; anything after the ? is discarded, because that part of a link often carries a login token. The address is sent when you activate the extension on a page, and again if you confirm a submission.

  • The event you say you applied to. Recording an application is never automatic: the extension asks, names the event, and lets you choose a different one or decline. Nothing about a submission reaches us unless you confirm it.

What we never receive

  • What you type into a form. The extension sends us the description of a field, never its contents. The only exception is a value you explicitly confirm saving to your profile, as described above.

  • Passwords, payment or card details, national insurance or social security numbers, passport numbers, or dates of birth. The extension is built to ignore these fields entirely. It will not fill them, will not describe them to us, and will not learn from them.

  • Your browsing history, or any page you have not activated the extension on. The address we receive is that of the one page you activated it on, and only while you are using it there.

Who we share it with

We do not sell any of this data, and we do not use it for anything other than filling your forms and maintaining your speaker profile. The extension contains no third-party analytics, advertising or tracking code.

To provide the feature we rely on two kinds of service provider, who process this data on our instructions and for no purpose of their own:

  • Amazon Web Services: hosting, storage and email delivery for Brandpod. Your speaker profile and everything described above is stored there.

  • AI model providers: Anthropic, Google and OpenAI. When a form contains a field we cannot place from its label alone, or asks a question your stored answers do not cover, we send the question (the field’s label, type and length limit, and for a written answer the text of the question together with the material from your profile needed to answer it) to one of these providers to produce a suggested answer. Which provider handles a given request depends on our configuration at the time. We do not send them your name, email address, phone number or postal address for this purpose, and they do not use this data to train their models.

We also disclose data where the law requires it, and to a successor if the business is acquired, as described elsewhere in this policy.

What is stored on your device

  • Sign-in tokens that identify your browser to your Brandpod account. The short-lived one is held in memory and disappears when you close your browser. The longer-lived one is stored on your device so you do not have to reconnect constantly; it is replaced each time it is used, and you can revoke it at any time.

  • A short-lived copy of your speaker profile, so filling a form does not require a fresh request every time.

  • A record of the shape of forms you have already used, so returning to the same form is faster. This contains no personal data.

All of this is erased when you disconnect the browser, and you can clear it at any time from the extension’s options page.

Your controls

  • Disconnect a browser from Brandpod → Settings → Integrations, or from the extension itself. This immediately revokes its access and erases the data stored on that device.

  • Clear cached data from the extension’s options page, without disconnecting.

  • Remove the extension to end all of it. Removing the extension does not delete your Brandpod account or the speaker profile held in it; those are governed by the rest of this policy.

Retention

Your speaker profile is retained as part of your Brandpod account and is covered by the retention terms elsewhere in this policy. Data held on your device by the extension is transient: sign-in tokens expire, the profile copy is refreshed regularly, and everything is erased on disconnect or removal.

How We Use Your Information

We use information that we collect about you or that you provide to us, including any personal information:

  • To present our Website and its contents to you.

  • To provide you with information, products, or services that you request from us.

    To fulfill any other purpose for which you provide it.

  • To provide you with notices about your account, including expiration and renewal notices.

  • To carry out our obligations and enforce our rights arising from any contracts entered into between you and us, including for billing and collection.

We may disclose aggregated information about our users, and information that does not identify any individual, without restriction.

If you delete your User Contributions from the Website, copies of your User Contributions may remain viewable in cached and archived pages or might have been copied or stored by other Website users. Proper access and use of information provided on the Website, including User Contributions, is governed by our terms.

We have implemented measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure. All information you provide to us is stored on our secure servers behind firewalls.

The safety and security of your information also depends on you.
